New Feature Announcement
New Training Video Library

We're excited to introduce the Optima Training Video Library — a new in-app resource designed to help you learn Optima at your own pace. The library offers two types of content: guided tutorials for core learning that walk you through key workflows step by step, and short how-to videos for quick problem-solving when you need an answer fast.

Training is organized into separate libraries for staff and volunteers, so each audience sees the content most relevant to their role. Staff training covers administrative tasks, case management, reporting, and program setup. Volunteer training focuses on the tools and workflows volunteers use day to day, including contact logs, updating case information, and training.

Getting started: Access the Training Video Library from the Help page in Optima. Videos open in an overlay so you can watch without leaving your current workflow. Browse by category.

New Feature Improved
Clickable Records in Exception Reports

You can now click directly into individual case, child, and volunteer records from the most frequently used exception reports. This allows you to open and fix records directly from the report without losing your place — the report stays open so you can work through issues one by one without navigating back and forth.

  • + Click-through navigation — Records in exception reports now open as clickable links. Click any case, child, or volunteer to jump directly to that record, make your corrections, and return to the report to continue.
  • Updated reports — This improvement has been added to the following exception reports:
    • Open Children - Missing Assigned to Program Date - by Supervisor
    • Active Children - Missing Eligibility
    • Assigned Volunteer - with No Assigned Child
    • Assigned Supervisor (Paid Staff) - with No Assigned Child
    • Active Volunteers - Missing Sworn Date - by Supervisor
    • Cases - No Future Hearings
    • Total Children Summary - Unserved
    • Active Volunteers/Applicants - Missing Background Check

Bulk Import for Volunteer Inquiries

Staff can now bulk import volunteer inquiries by uploading an Excel or CSV file, eliminating the need to enter each inquiry manually. During the import process, staff can match incoming inquiries to existing referral sources and event names, ensuring data stays consistent and organized across your program.

  • + File upload import — Upload an Excel (.xlsx) or CSV file containing volunteer inquiry data to create multiple inquiry records at once.
  • Referral source matching — During import, map inquiries to your program's existing referral sources and event names to maintain clean, consistent tracking data.
